Are you a talented multitasker who loves interacting with people? We’re looking for a dynamic and professional Intake Specialist to join our team. As the Intake Specialist, you will engage potential new clients (PNCs) to properly qualify leads and screen out those the Firm cannot help; precondition potential clients to hire us by reassuring them that they will be in good hands with our Firm.

The key priorities of the Intake Specialist are: 

  • 1. Exceptional and Efficient Intake, Onboarding and Offboarding 
  • 2. Maintain Lawmatics CRM 
  • 3. Build and Maintain Relationships with Clients and Referral Partners 

Other Responsibilities 

  • Initiate contact and process all incoming leads 
  • Screen potential clients to qualify them for representation, weed out unqualified leads and conflicts
  • Follow established systems and processes to guide potential clients through the pipeline from initial touch to signed contract
  • Schedule appointments and consultations
  • Follow up with PNCs to provide options for hiring or scheduling additional consults 
  • Work with clients to hire the firm; send Legal Services Agreement and initial homework request made by an attorney 
  • Develop and maintain resources for potential clients and new clients 
  • Coordinate and execute thank you cards and gifts for professional referral sources 
  • Coordinate and execute client birthday cards and thank you cards 
  • Maintain Mailchimp list for newsletters
  • Report Intake metrics to the Owner and Director of Operations

Qualifications

  • A minimum of 2 years of experience as a receptionist, administrative assistant, guest service specialist, or similar position
  • Previous sales experience with high value services and/or products strongly preferred 
  • Strong customer service skills, interpersonal skills, organizational skills, and time-management skills 
  • Proficient computer skills and knowledge of Microsoft Office 
  • Family law experience preferred 

Compensation: $21 – $25 hourly
